How to Turn Photos Into a PDF on Your iPhone
Almost every request for “a scan” is really a request for a PDF. Your accountant doesn’t want eleven JPEGs of receipts; the landlord doesn’t want three photos of a passport page. They want one document, in order, that opens the same way on every device.
Your phone camera is genuinely good enough for this. The gap is entirely in how you shoot and what you do afterwards.
Shoot it like a scan, not like a photo
Five minutes of care here saves all the fixing later.
- Flat surface, contrasting background. A white page on a dark table is easy for any app to detect and crop. A white page on a white desk is not.
- Shoot straight down. Perspective distortion — the page narrower at the top than the bottom — is the single biggest giveaway of a photographed document. Get the phone parallel to the page.
- Ambient light, not flash. Flash produces a hot white blowout in the middle and dark corners. Daylight from a window at the side is ideal.
- Watch your own shadow. Leaning over a document puts your head between it and the light. Shoot from slightly to the side, or move the paper to the edge of the table.
- Fill the frame, but leave a margin. A small border of table around the page gives edge detection something to find.
For receipts specifically: flatten the curl first. A rolled-up till receipt photographs into an unreadable smear no software will rescue.
Building the PDF
Once you have the images, the assembly is the easy part:
- Select the photos in the order you want them. Most apps preserve selection order, so pick page one first. If they don’t, you’ll reorder afterwards anyway.
- Create a PDF from them. Each image becomes one page.
- Reorder and rotate anything that came in sideways or out of sequence.
- Name it something a human can read. “Receipts-March-2026.pdf” saves everyone a click. “IMG_4821.pdf” is how documents get lost.

Making it look like a real scan
A few adjustments make the difference between “photo of a document” and “document”:
Crop tight to the page edges. No table, no fingers, no background. This one change does most of the work.
Straighten it. Even a two-degree tilt reads as sloppy. Rotate until the text baseline is level.
Increase contrast for text documents. Pushing the paper towards white and the ink towards black makes small print far more legible and, usefully, shrinks the file considerably. Leave photos and anything with a colour stamp or signature alone.
Keep every page the same orientation and roughly the same size. A PDF that flips between portrait and landscape halfway through is annoying to read and looks careless.
Getting the size right
Photo-based PDFs get big quickly — a ten-page document at full camera resolution can easily reach 30 MB, and most email systems refuse attachments over 20 or 25 MB.
Some judgement helps here:
- Text documents compress enormously once converted to high-contrast black and white. There is no reason to send a 12-megapixel colour photograph of a printed letter.
- Anything with a photo, seal, or coloured detail needs the resolution kept. ID documents in particular get rejected when compressed into mush.
- A good target for a mixed document is around 200–300 KB per page. Below that, small text starts breaking up.
Where this actually gets used
- Expense claims — a month of receipts as one file rather than a folder of photos.
- Applications and onboarding — ID, proof of address, and a signed form combined into one attachment.
- Whiteboards and lecture notes — shot at the end of a session and turned into a searchable, annotatable page instead of a photo that vanishes into your camera roll.
- Handwritten notes — the ones you want to keep alongside real documents rather than in Photos.
- Warranty and proof of purchase — the receipt plus the product label, one file, filed once.
The workflow is the point: the camera and the document live on the same device, so photograph, assemble, annotate, sign, and send without a laptop touching it.
